About the job

Purpose of the Job

Responsible for lease admin and tenant relations duties for various residential, commercial and retail leasing projects. Negotiates and coordinates lease documents on requirements needed, including signed documents, payments, tenant details forms and registration/licenses, receipts, etc.

Job Accountabilities

  • Responsible for coordinating lease offer, lease agreement / lease renewal management/ EJARI contracts, and tenant relations with the property Management Team.
  • Sets-up, maintain and responsible for data integrity of physical and electronic lease files in coordination with Property Management Team.
  • Follows-up with internal and external parties on the status of all documents/deals
  • Communicates with Property Management Team, Legal & Accounts Departments, as well as retailers and landlords.
  • Coordinates lease documents and requirements, including signed documents, payments, tenant details forms and registration/licenses, receipts, etc. with property management team.
  • Maintain tenant lease document status reports in coordination with Property Management Team
  • Key the information such as tenant details, property renewals, expiries to the company’s ERP system.
  • Assist Finance and operation team for PDC warehousing, bounced cheques management.
  • Maintain the lease administration records system in accordance with internal quality standards.
  • Maintain database for recurring payments and periodic payments to be paid to the landlords.
  • Manage all Lease Administration related landlord communications with property management Team.
  • Manage and coordinate Tenant move out / move in procedures

Educational Qualification

Graduation Degree

Experience

Minimum of 3 years’ experience in real estate and asset management, tenant relations

Knowledge & Skills

  • Proficiency in MS Office – Word, Excel, PowerPoint, etc. NetSuite will be an advantage.
  • Ability to manage a large database, including inputting, editing and verifying information.
  • Ability to understand and interpret residential, commercial and retail lease documents.
  • Ability to communicate clearly both verbally and in writing.
  • Ability to write reports and legal correspondence in a concise and effective manner.
  • Strong sense of customer service for internal and external clients, retailers & developers
  • Ability to work effectively in a fast-paced work environment while managing various tasks.
