JOB DESCRIPTION

Appointment Coordinator 

Oversees patient appointments, scheduling, and check-ins while ensuring accurate collection and updating of patient information in medical records.Maintains confidentiality and security of patient data, tracks pending treatments and brings patients in for consultations as needed.

Follows-up via various communication channels is conducted, schedules patients promptly and maximizes service sales by understanding patient goals. Acts as a liaison between patients and healthcare professionals.

DUTIES AND RESPONSIBILITIES:

  • Oversees patient appointments, scheduling, and check-ins.
  • Ensures patient information is accurately collected and updated in the medical records system.
  • Maintains accurate and up-to-date patient records.
  • Ensures patient information is kept confidential and secure.
  • Tracks patients who have pending and incomplete treatment/session.
  • Brings patients back in for additional consultations as necessary.
  • Follows-up with patients via emails, WhatsApp, phone calls, etc.
  • Schedules patients to arrive within 10 days of referral or initial contact.
  • Maximizes the sales/number of services closed by establishing the patient’s goals and major motivating factors for treatment/session.
  • Acts as a liaison between patients and other healthcare professionals.
  • Ensures that patient inquiries and concerns are addressed promptly.
  • Identifies areas of improvement in patient care processes and recommends solutions.
  • Provides guidance and assistance to other healthcare professionals.

QUALIFICATIONS & SKILLS:

  • High School Diploma
  • Secretarial or Administrative certificate preferred

PROFESSIONAL EXPERIENCE:

  • Minimum of three (3) years of experience in a Customer Service
  • Knowledge of Medical Terminologies is preferred .
  • Skills in computer applications such as Microsoft Office (e.g. Word, Excel, PowerPoint, Outlook, etc.).
  • Skills in cashiering (e.g. handling transactions, managing cash registers, processing payments, etc.).
  • Ability to speak and write in English fluently.
